TERMS AND CONDITIONS FOR SERVICE HIRING

Dear Client,

We appreciate your trust in our services. We are pleased to offer high-quality audio equipment for your event or project. To ensure a satisfactory and transparent experience for both parties, please read carefully and accept the following terms and responsibilities associated with equipment rental.

1. Responsibility for Equipment Use
The client agrees to use the rented equipment properly, following the instructions provided by the supplier. Improper, negligent, or out-of-spec use will be the client’s sole responsibility.

2. Care, Maintenance, and External Conditions
During the rental period, the client is responsible for the safekeeping, integrity, and maintenance of the equipment, including protection against:

  • Direct sunlight

  • Rain, humidity, or splashes

  • Strong wind or dust

  • Sudden temperature changes

  • External situations such as crowds, vandalism, or unauthorized access

Equipment must be kept in a safe, clean, and suitable environment for proper operation. Any damage, loss, or deterioration caused by lack of precaution will be the client’s responsibility.

3. Equipment Return
Equipment must be returned in the same condition it was delivered. The client must check the equipment upon receipt and immediately report any anomalies, visible damage, or malfunctions.

  • Reports must be made at delivery or when unboxing the equipment, never afterward.

  • Failure to report issues will be considered as acceptance of the equipment in perfect condition.

If damage, missing parts, or malfunction caused by use is detected upon return, an additional charge will apply for repair, specialized cleaning, or replacement.

4. Installation and Operation by Third Parties
If rented equipment is installed or operated by third parties, the client must ensure these individuals have adequate technical knowledge. Negligent or improper use outside of specifications will be the client’s responsibility.

5. Transport and Handling
Unless otherwise agreed, transporting the equipment is the client’s responsibility. Equipment must be moved carefully, using protective packaging and avoiding bumps or sudden movements. Any damage during transit will be borne by the client.

6. Insurance and Technical Support
It is recommended to purchase temporary insurance if the event involves high-risk conditions. Our technical team is available for guidance or assistance during the rental period, with prior coordination.

7. Protocol for Failures or Emergencies
If the client detects equipment malfunction:

  • Stop using it immediately.

  • Notify us through the provided technical support number.

  • Do not open or attempt to repair the equipment without authorization.

8. Penalties for Non-Compliance

  • Late return: Daily surcharge proportional to the rental value.

  • Unauthorized repair attempt: Client is responsible for the full cost of damages.

  • Equipment damaged or soiled by food or drinks: Cleaning or restoration charges will apply.

9. Glossary of Technical Terms

  • PA (Public Address): Sound system that amplifies voice or music for large audiences.

  • Backline: Stage equipment such as amplifiers, keyboards, or drums.

  • Mixing Console: Device controlling all audio sources.

  • Monitors: Speakers aimed at musicians/artists so they can hear themselves perform.

10. List of Equipment Delivered (to be filled at delivery)

11. Electrical Power and Cable Safety
The client must provide a suitable power source:

  • Voltage: Stable, 120–127 volts, with neutral and physical ground.

  • Frequency: 60 Hz.

  • Generator: Required if stable power is unavailable.

  • Continuous supply: Avoid overloads or power cuts.

The client must also protect electrical and fiber optic cabling:

  • Cable covers: Required where exposed to foot traffic.

  • Fiber protection: Only installed with safe cable paths.

  • Any damage due to lack of protection is the client’s responsibility.

12. Statement of Understanding and Acceptance
By requesting the service in writing and confirming the previously received quote, the client accepts all terms and conditions in this document. Confirming the request indicates that the client has read, understood, and accepted their responsibilities in the use, handling, and protection of rented equipment.

13. Equipment Maintenance and Possible Electronic Failures
All rented equipment has been maintained according to manufacturer standards. However, electronic and computational components may fail unexpectedly, e.g.:

  • DSP failures

  • Chip or circuit failures

  • Software or firmware issues

The company cannot be held responsible for electronic failures during use.

14. Cancellations Due to Force Majeure
In the event of cancellation due to force majeure, the client is responsible for the safety of the equipment while in their possession. Audioco is not liable for any damage or loss under these circumstances, and costs incurred will be the client’s responsibility.

For cancellations not attributable to Audioco, the client must cover 100% of the rental cost. Rescheduling is only possible if cancellation occurs before Audioco begins preparing the equipment at its facilities, and provided the equipment is physically in our warehouse.
